Opening a call for nominations for the IOAI International Board

Dear IOAI community members,
We are opening a call for nominations for the IOAI International Board. Below are the details.

Members of the Election Committee

The IOAI Board appointed the following Election Committee 2025:

  • Chair: Elena Marinova
  • Members: Ali Sharifi, Young Mao, Rositsa Dekova

Overview

  • Vacant Board Seats: 3
  • Term Lengths: 1-year, 2-year, and 3-year terms
  • Nomination form: here
  • Nomination deadline: July 18, 2025
  • Election Date: During IOAI 2025, Beijing

Eligibility

To be eligible for the IOAI Board, candidates must:

  • Be at least 18 years old.
  • Be affiliated with an IOAI-accredited country/territory organization or IOAI partner organization.
  • Fill out the provided Google Form by the stated deadline.
  • Have prior involvement in Olympiads or relevant fields (education, AI, nonprofit work).
  • Possess strong communication and collaboration skills.
  • Commit to actively contributing to Board responsibilities.
  • Be willing to serve a 1-, 2-, or 3-year term, participate in meetings, and work in an international environment.
  • Disclose any potential conflicts of interest.

Nomination Phase

  • Deadline: July 18, 2025
  • Nominations are accepted via Google Form only.
  • Anyone may nominate a candidate (including self-nominations).
  • A nomination is valid only after the nominee personally submits the form (confirmation of willingness to serve).
  • All candidates will be offered an interview slot with the Election Committee on July 14 or 21.

Candidate Review Phase

  • Interview dates: July 14 & 21
  • Short 15-minute calls between the Election Committee and each candidate.

Candidate Presentation Format

Each candidate must provide:

  1. A written profile (mandatory, submitted by July 18).
  2. Optional:
    • A short video presentation (≤3 mins, due July 30), OR
    • A 3-minute in-person pitch at the GA.

Communication to GA Members

  • Dates: July 23–27
  • GA Members will receive:
    • Final list of candidates with profiles.
    • Voting format information.

Voting Process

  • Format: Paper Ballot
  • Each GA Member may vote for up to 3 candidates.
  • Ballots with >3 votes are invalid.
  • Top 3 candidates by votes are elected.
  • Tiebreaker rules:
    • Tie for 3rd place → runoff vote.
    • If unresolved, LERAI representatives decide.
    • If LERAI deadlocks, the Board Chair casts the deciding vote.
  • Term lengths (1/2/3 years) assigned by vote count (highest = longest term).

Guidelines for the Election Committee

The Committee ensures a fair, transparent, and structured election process. Key responsibilities:

1. Uphold Transparency, Fairness, and Integrity

  • Ensure inclusivity, impartiality, and trust.
  • Treat all candidates equally (no preferential access).
  • Maintain confidentiality where needed.

2. Oversee the Nomination Process

  • Publicize timeline/criteria.
  • Review all nominations by the deadline.
  • Verify eligibility and request missing info if needed.

3. Conduct Candidate Interviews

  • Schedule 15-minute interviews (July 14/21).
  • Address omissions, understand motivations, and prepare candidates for GA presentations.

4. Support Candidate Presentations

  • Inform candidates of presentation formats.
  • Ensure timely submission/scheduling.

5. Facilitate Voting

  • Distribute the final candidate list.
  • Communicate voting procedures clearly.
  • Ensure accurate vote counting and reporting.

6. Document and Report

  • Maintain records of the process.
  • Submit a final report to the Board with recommendations for future cycles.

Note: The Committee does not select/rank candidates. All verified nominees proceed equally to the GA vote.
